You must have seen that many businesses take the help of communications agency to help improve personal connections. Why? In order to improve growth and performance, both external and internal communication holds significant importance.

The teams of internal communications and corporate communications serve different purposes. They deliver messages to different audiences and support the business through different means. But they should still be working in complete isolation.

In spite of knowing that corporate communication and internal communication teams convey their messages to different audiences, they should still work in unison and coordinate their efforts to make sure that their messages come across in the most effective manner.

The absolute cooperation of both teams plays a major role in delivering consistent messages to the employees and customers. Still, if the communication department fails to execute its responsibilities by conveying mixed messages, which would cause extreme confusion. Thus, there should also be an emphasis on a business’s positive image as well.

What is Internal Communication?

Internal communication is essential, as it ensures effective communication within the company itself. The messages can be swapped via mediums like telephone, personal contact, e-mail, modern employee communication platforms, etc.

What are the Types of Internal Communication?

Internal communication exists in four types of variants:

Vertical:

The communication style between employees in different stratified positions.

Downward:

The communication from leaders or managers to employees.

Upward:

The communication from employees directed to managers or leaders

Horizontal:

The communication between individuals ranked on the same hierarchical designations.

What is External Communication?

External communication means the exchange of information and ideas both ways. So this includes within the organization and outside the organization.

It is familiar for organizations who want to communicate with the outside world—just another day. Hence, the external communication department’s presence plays a prominent role in every business.

What are the Types of External Communication?

External communication is formal and informal.

Formal External Communication:

The first step in forming the company’s appropriate image for the world outside is finding your unique voice. It includes anything from meticulously crafted letters and presentations, to reports or web pages. The major aim of external communications is to inform the outside world of an important message regarding the work and quality of the organization. This helps build a positive image of a firm and helps in attracting people to look for opportunities here.

A few examples are:

  •   Brochures
  •   Events
  •   Advertising
  •   Press Releases

Informal External Communication:

The form of communication in which organizations can’t modulate directly.

Following the daily routine of work activities, employees get the chance to absorb information continuously. The information further deepens their knowledge and information surrounding the organization. So whenever employees discuss your organization with the outside world, they become a part of an informal external communication network.

A few examples include:

  •   Launch of a new product or service
  •   Internal newsletter
  •   Amendments in terms and conditions
  •   Long service awards

Why do both Internal and External Communications have to Work Together?

In order for a company to reach new heights in the industry, the internal and external communicators must work together.

Curating messages can help buoy up employees’ spirits and help them work hard to meet their targets while evenly engaging partners and customers through effective communication.

Now it’s time to learn why both internal and external communications have to work together through a business’s perspective:

·  Strategic Alignment becomes better

If internal and external communications departments don’t collaborate and show unity in working as a team, it becomes almost impossible to achieve strategic alignment..

When internal communications perform well by informing employees about what projects the external communications departments are working on, achieving their goals can become a lot easier.

·  Alignment of the Brand image

Businesses have usually given more attention to external communication, making it their primary focus. Here, they forgot all about their existing audiences, who are just as important in creating your organization’s culture.

Brands must ensure that no gaps remain between their products, advertising efforts, customer service, and actual customer experiences. The customer’s experience only helps in determining the success of your business.

How do we close that gap? The best way to eliminate that gap is through the alignment of the brand’s image completely from the inside out. This means that every employee must be well-equipped with the knowledge and tools necessary to carry out and actually deliver on the expectations of clients. They need to understand and stay committed to the brand’s promise and their role in keeping it.

The external and internal communications teams need to work as one in order to set a clear brand’s image.

·  A Proper System of Internal and External Messaging

Many organizations lack the proper system of internal and external messaging. It definitely does not give a good impression of the company and is further evidence that their teams could be stronger.

For example, if the company shares contradictory information with its employees and investors, this could lead to major confusions. You will have to deal with several unhappy and unmotivated stakeholders. The communication gap can lead to bigger issues like loss of investors and employees. The company’s image can fall significantly. You cannot afford to take that risk.

·  Understand your Audience

For businesses, only external people fall under the category of an audience. But in reality, even their internal employees need to be treated equally importantly. Yes, this is a mistake because organizations need to consider the internal and external communication team together to have a balanced communication procedure.

If a company is working on its image, then it becomes necessary to create talking points that are beneficial for both internal and external use. This strategy helps draft messages that excite the employees and uplift their spirits.

·  Gather everyone on the same page.

The external and the internal communication department should be on the same page. They should know what the other team is doing and contributing to existing projects.

If both teams don’t carry out their responsibilities with unity, then it will raise issues further affecting the organization’s culture.
